Kapasativ

The right person on the right client, before the deadline.

Accounting firms with 5–100 employees and a client portfolio growing faster than the staff.

January and July are the same every year, and still they come as a surprise. Who has capacity for the new client? Who can do payroll when Kari is off sick? In most firms the answer lives in a spreadsheet, and in the managing partner's head.

Kapasativ gathers people, skills, clients, deadlines and allocations in one place, and lets AI suggest who should have which client. New engagements become clients in one click, and PowerOffice Go keeps the master data in sync.

What Kapasativ does for the firm

  • Sees capacity per client

Week by week: who is allocated where, who is overloaded, and which clients lack a responsible accountant.

  • Matches skills to engagements

Payroll, VAT, year-end, industry knowledge and authorisation. AI suggests, and the gap analysis tells you when someone is missing.

  • Brings new engagements into the plan

Proposals with intended resources. “Won” creates the client and the allocations automatically.

  • Talks to the systems you have

PowerOffice Go sync of clients, employees and engagements. Its own MCP server, so your AI tools can work in the data with your access.

The answer to “who takes this client” should be the same whoever you ask.

Frequently asked

How long does it take to get started?

A firm on PowerOffice Go is up with real data the same day. Otherwise you import people and clients from a spreadsheet, and spend an afternoon.

Where is the data stored?

Isolated per firm, in Europe. AI calls go to Anthropic with a budget cap per firm, and we sign a data processing agreement before any client data is processed.

Can we try with one department first?

Yes. We set the firm up with your own data and let one department plan next quarter in Kapasativ while the rest carry on as before.
